Payment, Deposit & Cancellation Policy

Ceremony Contributions

Ceremony contributions help support the preparation, facilitation, staffing, meals, lodging, supplies, facilities, and operational costs associated with our gatherings and private services.

Group Ceremonies

The following policies apply to all scheduled group ceremonies, retreats, and weekend events hosted by AST.

Reservation Deposit

A non-refundable $150 reservation deposit is required to secure a place in a group ceremony.

The deposit is applied toward the participant’s total ceremony contribution.

Balance Due

The remaining balance is due no later than 2 days prior to the ceremony.

Participants who wish to pay any portion in cash upon arrival must receive prior approval from AST.

To ensure adequate preparation and planning, balances are due no later than 2 days before the ceremony unless prior arrangements have been approved by AST. Participants who have not paid their balance or made approved payment arrangements may forfeit their reserved space and any reservation deposit paid.

If financial hardship or unexpected circumstances arise, we encourage participants to communicate with us as early as possible so we can explore available options.

Cancellation Policy

The $150 reservation deposit is non-refundable.

Participants who cancel a group ceremony registration will receive a refund of any amounts paid beyond the $150 reservation deposit.

No additional cancellation fees will apply to group ceremony registrations.

Participants may also choose to transfer their registration in accordance with the Transfer Policy below.

Transfer Policy

Participants may transfer their registration to another AST ceremony provided:

The new ceremony occurs within 3 months of the original ceremony date.

Only one transfer is permitted per registration.

The transfer is subject to space availability.

If the replacement ceremony has a higher contribution amount, the participant is responsible for the difference.

If the replacement ceremony has a lower contribution amount, AST will refund the difference.

If a participant cancels rather than transfers, the $150 reservation deposit remains non-refundable.

Private Ceremonies

The following policies apply to private ceremonies, private healing sessions, and other individually scheduled services that require dedicated facilitator time and may involve travel expenses.

Reservation Deposit

A 50% deposit is required to reserve a private ceremony and is applied toward the participant’s total ceremony contribution.

The first $150 of the deposit is non-refundable and serves as a reservation fee. The remainder of the deposit may be refunded in accordance with the cancellation policy below.

Cancellation Policy

More Than 10 Days Before Scheduled Ceremony

Participants may cancel and receive a refund of all funds paid, less the $150 reservation fee.

Within 10 Days of Scheduled Ceremony

Participants are responsible for:

The $150 reservation fee.

Any non-refundable travel expenses incurred by AST.

Any non-refundable lodging, venue, or direct expenses incurred specifically for the scheduled ceremony.

All remaining funds will be refunded.

Rescheduling Policy

More Than 10 Days Before Scheduled Ceremony

Participants may transfer all funds paid to a new date, subject to availability.

Within 10 Days of Scheduled Ceremony

Participants may reschedule, subject to availability, and are responsible for:

A $150 administrative transfer fee.

Any travel change fees.

Any non-refundable expenses already incurred by AST.

Travel Considerations

Some private ceremonies require AST facilitators to travel. Participants may be responsible for non-refundable travel expenses incurred on their behalf if a cancellation or rescheduling occurs within 10 days of the scheduled ceremony.

Cleansings and Consultations

The following policies apply to cleansing services and consultation appointments.

Reservation Fee

A $50 reservation fee is required to schedule a cleansing or consultation.

The reservation fee is applied toward the total contribution for the service.

Cancellation Policy

The reservation fee is non-refundable.

Participants who provide at least 10 days notice may transfer the reservation fee one time to a future cleansing or consultation appointment.

Payment Methods & Convenience Fees

AST strives to keep ceremony and service contributions as accessible as possible. Most electronic payment providers charge processing fees on transactions. To help ensure that participant contributions support AST’s mission rather than third-party processing costs, a convenience fee may be added to certain payment methods.

The following payment methods do not incur a convenience fee:

These methods allow 100% of your contribution to support AST’s services and operations.

Payment Methods Subject to a Convenience Fee

The following payment methods may incur a convenience fee to help offset transaction processing costs:

Debit Card

PayPal

The convenience fee will generally reflect the actual processing costs associated with the transaction. Because processing costs vary by provider, fees may differ depending on the payment method used.

Participants will be informed of any applicable convenience fee before payment is processed.

Good Faith Statement

Ancestral Spirit Tribe does not seek to profit from cancellations or rescheduling. Participants are only responsible for reservation fees and direct expenses incurred on their behalf. We encourage open communication whenever circumstances arise that may affect attendance.

Our intention is to create policies that support both the sustainability of the organization and the well-being of the participants we serve. Through clear communication, mutual respect, and personal responsibility, we can work together to create a smooth and supportive experience for everyone involved.
